Post-visit survey

How we use personal data collected by our post-visit survey.

Cadw, part of the Welsh Government, collects feedback on visitor experience and opinion on an ongoing basis. This aim of this data collection is to:

  • provide an opportunity for visitors to Cadw staffed sites to share feedback after their visit
  • to collect this feedback to understand who our existing audiences are, and identify our missing audiences
  • use the findings to improve the visitor experience at Cadw sites and widen our audiences.

Cadw (Welsh Government) is the data processor and data controller.

The information collected during the project will be shared internally within Cadw (Welsh Government) in an anonymised format.

Anonymised data will also be shared with a small research team based between Cardiff University and Lancaster University working on FreeTxt, a bilingual (Welsh/English) text analysis tool. Your personal details (email address) will not be shared as part of the project.

Your participation in this research is completely voluntary. However, your feedback from the survey will help Cadw improve the onsite visitor experience.

What personal data do we hold and where do we get this information?

Personal data is defined under the General Data Protection Regulation (GDPR) as ‘any information relating to an identifiable person who can be directly or indirectly identified by reference to an identifier’.

The current survey does not ask for personal details such as your name, address and telephone number, however you are asked for your email address to take part in the prize draw. We will not use this data to identify you.

What is the lawful basis for using your data?

The lawful basis for processing information in this data collection exercise is our public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government.

Participation is completely voluntary. Research studies such as this are important for Cadw (Welsh Government) to collect information and actionable evidence about its ability to deliver government priorities. The information collected in this research, for example, might be used to:

  • decide where to invest money for conservation purposes
  • decide how and where to improve the visitor experience
  • feed into staff training initiatives.

How secure is your personal data?

Personal information provided to Cadw (Welsh Government) is stored on a secure server. The data can only be accessed by a limited number of Cadw employees, who will only use this data for research purposes.

When conducting surveys, Cadw use a survey software programme called SmartSurvey. We have ensured that Smart Survey is GDPR compliant and meets our expectations in terms of the security of any data collected via the software. All data are processed within the UK.

Cadw (Welsh Government) will also share anonymised data with a small research team based between Cardiff University and Lancaster University as part of the FreeTxt project, using a secure file transfer application. FreeTxt a bilingual (Welsh/English) text analysis tool.  Your personal details (email address) will not be shared as part of the project.

Cadw (Welsh Government) has procedures to deal with any suspected data security breaches. If a suspected breach occurs, we will notify you and any applicable regulator where we are legally required to do so.

All data gathered through this research will be reported in an anonymised format. It will not contain your contact details and any identifiable information in open-ended answers will be removed.

How long do we keep your personal data?

All email addresses held by Cadw (Welsh Government) will be deleted once the relevant prize draw has taken place.

We will keep an anonymised version of the survey data on a secure server.

Individual rights

Under GDPR, you have the following rights in relation to the personal information you provide as part of this survey, you have the right:

  • to access a copy of your own data
  • for us to rectify inaccuracies in that data
  • to object to or restrict processing (in certain circumstances)
  • for your data to be ‘erased’ (in certain circumstances); and
  • to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
